Description:

Perform a various range of office management and administrative functions to provide assistance in organizing the daily activities of the JLOC Office such as:

• Ensure an effective achieving system in such a way that the Chiefs incoming/outgoing documents on Lotus Notes, and by regular mail are well maintained and easily located.
• Assist in researching and collect information pertaining to logistics and planning matters from a variety of data sources e.g. collating e-mails, updating MIS Logistics instruction & administrative reports, and log/plan worksheets.
• Typing, drafting and filing incoming and outgoing correspondence.
• Issuing Support Instructions to all MIS Sections concerned.
• Assist in drafting and editing a variety of reports and correspondence relating to logistical and planning matters, reproduction of documents.
• Maintaining Attendance & Hazard Pay Sheets, MOP’s and Leave Requests, ORB and unit schedules.
• Arrange for and book meetings and conference rooms for any meetings / training programs etc.
• Maintaining an active database to log planning work sheets, matrixes etc.
• Assist in CITS requests & clearance and approval procedures, when the S/M in charge is away on leave etc.
• Support all Military Staff Officers on Administrative Logistical matters.
• Perform the function of a Tender Opening Committee Member as and when required.
• Perform other related duties as required by the Logistics Team or Chief Logistics/JLOC Section.

Competencies:

• Communication – Good verbal and written communications skills in French, English and Creole. Good knowledge in Microsoft Word, Power Point and Excel;
• Professionalism - Knowledge and understanding of functions and organization of the JLOC activities, relevant operational and administrative policies, practice and procedures, including records managements/filing procedures.
• Planning and organizing – Effective time management and ability to prioritize and plan own work to meet designated deadlines.
• Technological Awareness – Good Computer proficiency.
• Teamwork – Very good interpersonal skills, ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect diversity.


Qualifications:

Education: High School or equivalent diploma is required.
Work Experience: At least four (4) years of work experience related to administrative support, logistics and operations management; ability to apply good judgment in the context of assignments; ability to recognise and act in the face of conflicting priorities, possessing a sense of responsibility, self-motivation and ability to work with minimal supervision; aptitude and willingness to learn new skills; ability to work in a team environment and to work under pressure in a multi-tasking environment; ability to apply initiative and pro-active spirit. Formal training or education and/or experience in Administration is highly desirable.
Languages: Fluency in written and spoken English, French and Creole.
